Historical Audit Checklist for the Certification of Trusted Digital Repositories : Draft for Public Comment

This draft paper was compiled by the RLG-NARA Task Force on Digital Repository Certification. The paper identifies the audit and certification criteria repositories must meet in order to reliably store, migrate and provide access to digital collections. The criteria include organisational aspects, such as sustainability; repository functions and processes such as ingest, storage and management; usability, such as descriptive metadata; and technologies and technical infrastructure. The audit instrument is also included in the document.

British Library Application Profile (BLAP)
This document lists all the elements and element refinements (terms) that can be used when creating metadata according to the BL Application Profile. There are two proposed uses for this application profile at the British Library - the first is to provide a metadata standard for use in digitisation projects where MARC records are not going to be created, the second is as a format that encompasses enough of the common elements from other BL databases to allow conversions that will enable high level cross-searching.

It includes information on metadata, formats, access and documentation of Virtual Reality projects. It is concerned with the variety of virtual reality models that may be produced and how to ensure that these can be delivered successfully to users and preserved for future reuse. Funding for AHDS ceased in 2008.

Digitisation Strategy 2008-2011
For the past two decades, the British Library has undertaken a number of focused digitisation initiatives. More recently, we have entered the world of mass digitisation in partnership with external funding bodies and technology providers. Through digitisation, we are creating a valuable and enduring resource for scholars and the public alike. Our digitisation strategy underpins the Library’s corporate strategy to 2011, including our content strategy and digital library programme and these will inform our thinking as we develop our strategy to 2020. This paper sets out our vision for the next 10 years and how we will achieve this.

Guidelines for the Preservation of Digital Heritage

These Guidelines form a part of a UNESCO campaign to improve access to digital heritage for all the world’s peoples, and to ensure that the means of preserving their digital heritage are in the hands of every community. The Guidelines have been prepared to offer realistic and useful guidance for those responsible for preserving digital heritage, including those having only very limited resources. The UNESCO Draft Charter on the Preservation of the Digital Heritage (Document 166 EX/18) presents a compelling case for digital preservation. The Guidelines are intended as a companion sourcebook to the Draft Charter. A clear link exists between the two documents, the Draft Charter presenting those advocacy and public policy issues that are outside the scope of technical and practical guidelines.

Guidelines Preservation Imaging Metamorfoze (DRAFT VERSION)
Metamorfoze is the Netherlands' national programme for the preservation of paper heritage. The programme started in 1997. The Metamorfoze programme is a collaborative effort of the Koninklijke Bibliotheek (National Library of the Netherlands) and the Nationaal Archief (National Archives of the Netherlands). In June 2007 a draft version of the Guidelines Preservation Imaging Metamorfoze was published. The Guidelines set out the requirements for preservation images commissioned for Metamorfoze. This draft version of the Guidelines is specifically intended to serve as the basis for pilot and test projects to be initiated as of June 2007. All criteria, technical targets and software may be slightly adjusted or changed. Besides serving as a basis for pilot and test projects, this draft version is also intended as a starting point for discussion with national and international experts in the field of image science. The final 1.0 version of the Preservation Imaging Guidelines is expected to be available in 2009. That final version should be regarded as setting the standard for preservation imaging. This means that all Metamorfoze preservation imaging projects must comply fully with these Guidelines. The images produced in this context must adhere to quality standards and retain a verifiable relation to the original in such a way that they can serve as a replacement of the original object, as the originals are withdrawn from use after preservation. However, there will be different requirements for different types of material.

ISO 28500:2009 - Information and Documentation - WARC File format

This standard specifies the WARC file format which is an extension of the ARC format which has been used since 1996 to store files harvested on the web. The WARC format enables the recording of HTTP request headers, the recording of arbitrary metadata, the allocation of an identifier to every contained file, the management of duplicates and migrated records and the segmentation of the records. WARC files are intended to store every type of digital content, either retrieved by HTTP or another protocol.

Released as a Draft for Trial Use over the period 1 June 2002 to 31 December 2003, this NISO document (NISO Z39.87-2002, AIIM 20-2002) has been produced "to facilitate the development of applications to validate, manage, migrate and otherwise process images of enduring value" and "to facilitate interoperability between systems, services and software, as well as to support the long-term management of and continuing access to digital image collections". A corresponding XML schema to assist in implementation is available at: http://www.loc.gov/standards/mix. The final standard was published in December 2006.

PREMIS Requirement Statement Project Report

This is the report of the Presta-Premis Requirement Statement Project which was conducted from December 2005 to June 2006. It was undertaken by the National Library of Australia for the Australian Partnership on Sustainable Repositories (APSR). The report specifies requirements for the collection metadata needed for long tem continuity of access to digital collections. The report includes recommendations on preservation metadata elements including mandatory elements; recommendations on tools for automatic metadata extraction; a recommended list of supported formats and a draft METS profile for exchanging preservation metadata and functional specifications and use cases for preservation events and event logging. The report concludes with a summary of 14 recommendations.

Collecting, Archiving and Exhibiting Digital Design Data

Initiated by the Department of Architecture at the Art Institute of Chicago and undertaken by Kristine Fallon and Associates, with funding from the Schiff Foundation and Graham Foundation for Advanced Studies in the Fine Arts the purpose of the study was to examine the collection, archiving, and uses of digital design data produced by architects and industrial designers. The results of the study are extensive and are divided into 25 files. Section two is of most relevance as it deals with archiving digital design data: practices and technology, including preparing, collecting, and processing the data and its cataloguing, storage, and preservation. The study's final recommendations cover the life cycle of a digital work of art, including: types and classification of data appropriate for collection; indexing and metadata; data formats (archival, native, and derivative); format registration; storage; long-term maintenance; periodic migration; format updates and disaster recovery provisions for digital originals; and techniques for and opportunities to provide digital archive access to a broader community. The project was finalised in Spring 2007 and it was decided to make the software which was developed DAArch software version 1.0 open source.

The guide provides information on image capture, presentation, storage, and preservation for text, photographs, maps and other graphic materials. It contains guidance on scanning and file formats, hardware, software, quality control and colour management. It includes a set of general principles underpinning recommendations throughout the guide. These include scanning at a level of quality that will meet requirements and avoid the need to rescan in the future. As well as technical topics, there is information on staffing, training, costs and how to approach the issue of whether to scan inhouse or outsource to a vendor. The guide was superceded by BCR's CDP Digital Imaging Best Practices version 2 in June 2008.

Data Seal of Approval

The Data Seal of Approval web site has been developed by DANS (Data Archiving and Networked Services), the Netherlands national organization for ensuring long term access to social sciences research data. The web site contains guidelines for applying and checking quality aspects of the creation, storage and (re)use of digital research data in the social sciences and humanities. "These guidelines serve as a basis for granting a “data seal of approval”. The criteria for granting the data seal of approval are in accordance with, and match, national and international guidelines for digital data archiving such as the Kriterienkatalog vertrauenswürdige digitale Langzeitarchive developed by NESTOR, the Digital Repository Audit Method Based on Risk Assessment (DRAMBORA) published by the Digital Curation Centre (DCC) and DigitalPreservationEurope (DPE), as well as the Trustworthy Repositories Audit & Certification (TRAC): Criteria and Checklist by the Research Library Group (RLG)." The guidelines indicate responsibilities for data producers, repositories and consumers to ensure ongoing access.

This publication presents the results of a survey of digital preservation guidelines which was carried out in late 1998. The study found that there are few widely accepted guidelines and none which cover all digital preservation issues. The report identifies areas requiring further attention and makes ten recommendations. Summaries of the analysis of 34 guidelines are presented in an Appendix.

The report describes a DRM process covering recognition, assertion, expression, dissemination, exposure and enforcement of rights. A discussion of each stage is informed by an analysis of the needs of users and options are outlined for meeting requirements. The report views DRM within an academic context as an enabling rather than a restrictive mechanism. DRM is intended to provides a way for people to 'work as freely as possible in the knowledge that they are both working within the bounds of the law of copyright and respecting the rights of others' (p.9).

Espida: Making it Happen by Getting Real

This convention, which was issued by the European parliament in February 2001, provides for the safeguarding and preservation of European moving image heritage. This report describes a part of “Internetbevaringsprojektet” (the Internet preservation project), which is a joint project between Statsbiblioteket (The State Library) and Det Kongelige Bibliotek (The Royal Library) in Denmark. The aim of the project is to archive the Danish part of the Internet. As part of this project, this report specifically deals with strategies in handling file formats to ensure long term preservation and accessibility. Some of the main ways to preserve access to information stored as digital objects are discussed, including capture, sequential conversion to new formats, conversion on demand, emulation and hardware preservation. The report concludes with a suggested strategy for dealing with file formats in an archival system, file preservation workflows and general recommendations for handling file formats.

MoReq is a comprehensive specification for electronic records management systems, developed on behalf of the IDA (Interchange of Data between Administrators) initiative of the European Commission. The specification emphasises functionality, and has been designed as a practical aid for electronic records managers. Although not a focus, reference is also made to long-term preservation needs, and to issues such as authenticity, interoperability, preservation metadata and techological obsolescence. A new version MoReq2 has been made available in 2008.
